Most practice tools record what happened. These four rules are enforced by the application, which is what makes the record trustworthy afterwards.

The process is enforced, not remembered

Engagements are built from workflow templates, and a stage cannot advance until every mandatory task in it is complete. Review steps do not get skipped because it is March.

Every hour reaches an invoice

Approved billable time becomes WIP. Sending an invoice deducts it. Voiding reverses the entire chain — ledger, payments, credit notes, write-offs, WIP and applied advances.

Clients do their own chasing

Document requests land in the client portal with due dates. The client uploads, the request updates itself, and the task closes when every item is in.

Nobody sees more than they should

Role permissions decide what a person can do. Data scopes and visibility rules decide which records they ever see. The audit log cannot be edited or deleted.

    A lead enters the pipeline with a source. Stages, loss reasons and stale-lead reminders are yours to configure.

    Client

    Conversion is blocked until every required field is complete. History carries over and a document folder is provisioned.

    Engagement

    A job is created from a workflow template with all its stages, tasks and a unique job code. Stages gate on mandatory tasks.

  4. Stage 04

    Delivery

    Staff work tasks, request documents from the client, and log time against the job. Client tasks move the job to Waiting on Client.

    Billing

    Approved billable time becomes WIP. An invoice is raised, tax resolves automatically, and sending it generates a branded PDF.

    Collection

    The client sees the invoice and its balance in the portal. Your team records the payment, the ledger updates, and the period can be closed and locked.

What is Praxio?

Praxio is practice management software for accounting and tax firms. It covers the full client lifecycle in one system — prospects and clients, engagements moving through defined stages, document collection, time capture and WIP, invoicing and collection — and gives every client a secure portal to share documents, review invoices, accept quotes and message the firm.

How is Praxio different from Servio Portals?

They are two separate products under the same brand. Servio Portals is booking-portal software for service businesses — HVAC, plumbing, facility management. Praxio is practice management for accounting and tax firms. They are different applications with different data models; you do not need one to use the other.

Does each client get their own login?

Yes. Each portal account is linked to one contact record and can only ever see that client’s own information. Clients verify each sign-in with a single-use six-digit code sent to their email, valid for ten minutes.

Can I stop staff from seeing every client in the firm?

Yes, and this is enforced rather than advisory. Every role carries a data scope — only records assigned to the person, only their team’s records, or all firm records — and fine-grained data rules can narrow visibility further by practice entity, contact type, tag or team. Two people in the same role can legitimately see different data.

How does tax get applied to invoices?

Tax rates are configured per firm and resolved automatically against the client’s jurisdiction when an invoice is created. Rounding precision, currency, invoice prefixes, payment terms and fiscal-year start are configured per practice entity, so a multi-office firm can run different settings side by side.

What happens if we invoice something incorrectly?

Only draft invoices can be edited. Once an invoice is sent it is corrected the way an audit expects — a credit note, a write-off, or voiding and re-issuing. Voiding reverses the entire financial footprint: ledger entries, payments, credit notes, write-offs, discounts, WIP deductions and any applied advances.

Can we bring data from our current system?

Yes. A guided, staged CSV wizard imports legacy practice data, including CCH iFirm exports. You review each stage before it commits rather than importing everything and hoping.

Is there a record of who did what?

Yes. Every significant action is written to an audit log, and audit entries cannot be modified or deleted by anyone — including firm administrators.
